Job Description

Summary/Objective

The Administrative Assistant provides high-level administrative support by performing a variety of administrative, clerical, and coordination tasks that contribute to the effective operation of the Cooperative. This role ensures the efficient execution of Cooperative initiatives while maintaining a high standard of organization, confidentiality, and professionalism.

Essential Functions

  • Provide professional administrative support to the Engineering department, including coordinating efficient internal and external communications, managing visitors, scheduling meetings and appointments, drafting and proofreading letters or contracts. Responsibilities also include mailing, scanning, invoicing, processing paperwork, researching data, tracking project progress, and maintaining organized departmental records.
  • Schedule work orders and service orders with members, developers, builders, construction crews, external contractors, and internal departments, including Operations and Member Services.
  • Demonstrate strong time management skills, with the ability to prioritize and manage multiple tasks efficiently.
  • Display attention to detail and problem-solving abilities.
  • Participate in community, civic, and professional activities as appropriate.
  • Maintain professional communication with internal staff, external stakeholders, government agencies, membership, contractors, customers, and the public.

Work Environment

This position operates in a professional office environment and routinely uses standard office equipment, including computers, phones, photocopiers, and filing cabinets.

Physical Demands

This is largely a sedentary role; however, the employee may be required to walk or stand occasionally, use hands, fingers to handle, or feel, and reach with hands and arms; stoop, kneel, crouch, or crawl. The employee is regularly required to talk or hear. The employee must regularly lift and/or move up to 10 pounds.

Travel

Periodic travel to state and local destinations, as well as some interstate travel, is required.

Required Education and Experience

  1. Associate degree in Business Administration and/or Management
  2. Strong computer skills and proficiency in Microsoft 365.
  3. Demonstrated accuracy in typing, proofreading correspondence, and reports.
  4. Excellent verbal and written communication skills.

Preferred Education and Experience

  1. Bachelor’s degree or higher in Administrative Services and/or Business Management.
  2. Previous experience in an administrative role.

Additional Eligibility Qualifications

  1. Valid driver’s License.
  2. Legally eligible to work in the United States.
  3. Ability to become a Notary
