Job Description

The Administrative Assistant handles a variety of day-to-day tasks in our Cambridge, MA location. They ensure the smooth operation of the office and provide support to all departments as needed.

This is a part-time position (20h/week).

Key Accountabilities

Your responsibilities include, but are not limited to:

  • Mail Handling: receive, sort, and distribute incoming mail and packages; manage outgoing shipments, on a daily basis.
  • Bank Deposits: timely process bank deposits for ZEDRA’s customers.
  • Office Supplies Management: Monitor inventory and order office supplies and equipment as needed.
  • Event & Meal Planning: Organize internal events, team lunches, and meetings, including catering and logistics.
  • First-Line IT Support: Provide basic troubleshooting for office hardware/software issues and liaise with the IT Service Desk when necessary. Monitor inventory of IT equipment and ensure that enough stock is available to replace defective equipment and accommodate new hires.
  • Onboarding and offboarding: liaise with the HR department and managers to prepare welcome packets, set up workstations, and greet new hires. Ensure that Company equipment is returned and accounted for when employees leave the company.
  • Invoicing & Expense Tracking: Process vendor invoices, track office-related expenses, and assist with budget monitoring.
  • Travel Reservations: Coordinate domestic and international travel arrangements for staff, including flights, accommodations, and itineraries.
  • Front Desk Duties: Greet and assist visitors, manage incoming calls, and maintain a welcoming office environment.

Knowledge and Experience

  • Previous experience in an administrative or office management role (2+ years preferred)
  • Strong organizational and multitasking skills
  • Excellent written and oral communication abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with basic IT troubleshooting (e.g., printer setup, Wi-Fi issues)
  • Experience handling confidential information with discretion
  • The successful candidate must be fluent in English. Some knowledge of another language is desirable.
  • High School Diploma required
