Job Description

*****This is NOT a Remote Position – Must reside in MD, DC, or VA in proximity to Potomac MD.

This position is to be of administrative support to the company's keep as well as secretarial/executive support to the company's Lead Estimator.

Essential functions of the job include but are not limited to:

Secretarial Support for the Lead Estimator:

  1. Take dictations and type up various correspondences as required by the Lead Estimator.
  2. Manage and maintain the Lead Estimator’s calendar, schedule appointments, and coordinate meetings.
  3. Screen, prioritize, and handle incoming calls, emails, and correspondence.
  4. Prepare, proofread, and format letters, memos, and other professional documents on behalf of the Lead Estimator.
  5. Take accurate meeting minutes and ensure timely distribution and follow-up of action items.
  6. Organize and maintain confidential files and records for the Lead Estimator.
  7. Arrange travel logistics, including flights, hotels, and transportation, as needed.
  8. Provide timely reminders on deadlines, bid submissions, and key commitments.
  9. Handle confidential and sensitive information with discretion.
  10. Perform general clerical tasks such as scanning, copying, faxing, and mailing for the Lead Estimator.
  11. Serve as a liaison between the Lead Estimator and internal staff, clients, or vendors.
  12. Anticipate needs and proactively support the Lead Estimator in day-to-day activities to improve efficiency.

Estimating Department Administrative Support:

  1. Assist in generating new business opportunities from existing, past, and prospective clients including commercial clients (GC’s) as well as estimating opportunities from government bidding opportunity websites.
  2. Participate in client meetings to gather estimating requirements and assess scope of work in support of the Lead Estimator’s needs.
  3. Assistant preliminary cost estimates based on site visits and documentation.
  4. Assist with proposal preparation, pricing, and submission to both general contractors and government agencies.
  5. Obtain costs from subcontractors based on a specific scope of work and directions from the REMAC’s estimator.
  6. Obtain costs for the transportation and disposal of various waste streams due to demolition such as concrete, brick, CMU, asphalt and C&D from different landfills, recycling treatment, and disposal facilities.
  7. Read and understand project specifications and scopes of work related to demolition and environmental work in order to assist the Lead Estimator in preparing the estimates.
  8. Attend site visits, collect information, type up requests for information in order to perfect the estimate.

Qualifications for both positions

  1. High school diploma or GED.
  2. Must speak, read, and write in English fluently.
  3. Have experience in taking dictations.
  4. Excellent typing skills, 85 WPW or greater.
  5. Bilingual – preferred but not required.
  6. At least 2 years of experience in secretarial support and administrative skills, preferably for Construction Executive
  7. Basic understanding of construction estimates workflows and terminology.
  8. Excellent skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  9. Strong organizational and communication skills.
  10. Ability to prioritize tasks and manage multiple “projects” simultaneously.

Preferred (but not required):

  1. Experience in commercial construction project management or support roles.
  2. Familiarity with estimating management software (e.g., Procore, Xactimate, and MS Project).
  3. Knowledge of OSHA safety regulations and other government and state regulations.
  4. Experience coordinating subcontractors and vendor relationships.
  5. Proven track record of successful estimating assistance.
