Job Description

Summary:

As an HR Amin Assistant you’ll provide essential support to the HR leader and the department by managing the daily administrative tasks and ensuring the smooth operation of HR processes. The ideal candidate is detail oriented, organized, and able to handle confidential information with professionalism and discretion.

Here’s what you’ll be responsible for:

  • Provides administrative support for day-to-day human resources operations.
  • Provide administrative support to the Sr. Director and maintain accurate calendar at all times.
  • Responsible for HR department onboarding for new hires.
  • Schedule and organize meetings and handle logistics like conference room bookings, ordering food, compiling the PowerPoint presentation etc.
  • Responsible for attending any requested meetings and taking notes.
  • Responsible for supporting ad hoc and special projects as needed to meet organizational goals.
  • Responsible for coordination team safety initiatives as Safety Conductor, attending onsite safety meetings, delivering safety updates and communication of EHS guidelines.
  • Manage domestic/international travel arrangements for Sr. Director HR.
  • Schedules, plan department wide activities like team building events, birthday celebrations, holiday party, etc.
  • Manage building access for visitors.
  • Responsible for HR space management including the layout, cube reassignments and reconfigurations.

Here’s what you’ll need:

  • 5+ years of experience in an administrative and HR support role.
  • Strong verbal communication skills- experience answering calls and taking requests from executives.
  • Strong internal and external customer focus.
  • Advanced knowledge of MS office (Word, Excel and PowerPoint).
  • Demonstrate ability to establish credibility, trust and partnership at all levels of the organization.
  • Creativity, innovation and the ability to think 'out-of-the-box' in problem solving, organizational diagnosis, and solution generation.
  • Bachelor's Degree in related field or equivalent industry experience.
