Sample Room Coordinator (Studio Sample Management)

Location: Onsite in Columbus, OH

Contract: 4-month W2 contract with potential for extension based on performance

Pay Range: $25–$32/hour

About the Role

Russell Tobin is supporting a leading retail client in their search for a Sample Room Coordinator (Studio Sample Management Analyst) . In this role, you’ll be responsible for organizing and managing production samples, ecommerce photography needs, and supporting comp product/prop management within a fast-paced studio environment. This position is highly operational, requiring exceptional organization, adaptability, and collaboration across creative and marketing teams.

Key Responsibilities

• Oversee day-to-day sample management processes, including receiving, checking in, and organizing final production samples.
• Maintain a complete and accurate Sample Library, including tracking, securing missing items, and managing sample lifecycles in compliance with company policies.
• Pull, organize, and prepare product samples and comps for photography needs.
• Track and update timelines, queues, and reporting for sample deliveries and photo shoots.
• Support comp product and prop management processes, including shipment preparation, prop organization, and maintaining prop library inventory.
• Collaborate with internal partners in Creative Services, Marketing Operations, and external vendors to ensure deadlines and production needs are met.
• Process purchase orders, invoices, and expense records tied to comp product production.
• Support an operational initiative to outsource product photography by ensuring samples are properly tracked, shipped, and recorded.

Qualifications

• 1–3 years of experience in a fast-paced corporate environment (sample or studio management experience strongly preferred).
• Strong organizational and time management skills, with the ability to juggle multiple deadlines.
• Excellent communication skills—verbal and written—with a collaborative, team-oriented mindset.
• High attention to detail and ability to work calmly under pressure.
• Comfortable adapting quickly to shifting priorities in a deadline-driven environment.
• Experience supporting photo shoots or studio operations is a plus.
• Bachelor’s degree in Marketing, Communications, or related field preferred.

Additional Details

• Strong potential for contract extension or conversion to full-time based on performance and business needs.
