Job Summary:

About Us: Ardelle Associates is a leading provider of professional services, dedicated to delivering exceptional support to our clients. We are currently seeking a highly skilled and motivated Legal Office Assistant to join our team and support the Department of Justice (DOJ), U.S. Attorney's Office (USAO) This role is a vital part of our administrative team and plays a crucial role in the day-to-day operations of our office.

Duties:

Filter phone calls, respond to emails, and relay messages. As an admin assistant interact with outside agencies, colleagues, and external parties, fostering smooth communication and ensuring a professional impression of the office. Utilize expertise in software applications such as Microsoft word, excel, PowerPoint, access and outlook

Filtering, screening, and e-filing applications, communicating with applicants via telephone and email. Calendaring interviews and meetings.

Coordinate with AUSAs, paralegals, administrative staff, and other personnel to support pending projects and initiatives within the USAO-DNJ's. Act as a back up to the Executive Assistant to the US Attorney. As an Administrative Assistant effectively manage workload, prioritize tasks, and maintain files in a consistent, systematic, and coherent manner.

  • Clerical and Organizational Support: Help manage scheduled activities for leadership meetings, events and functions run smoothly, organized and efficient. This includes managing the attorney’s calendar by scheduling and coordinating meetings, appointments, and travel arrangements. Maintain both digital and physical filing systems, ensuring that all important documents are easily accessible and well-organized.
  • Document Preparation: Create and handle legal documents under the instruction of leadership help prepare documents, proofread, and format a variety of materials, including correspondences and reports, appraisal reviews and office awards. Assist in sending external outgoing correspondence as well as filtering external incoming mail. Compile, organize, and index documents, data, and other information received. Maintain a log of documents, data, and other information received.

Must have the ability to work with others, be courteous and cooperative while performing multiple tasks with frequent interruptions from a variety of customers, while maintaining productivity.

The individual must be detailed oriented, have the ability to follow detailed instructions and perform quality control work.

Safe work habits are required in an office environment.

Must be a US Citizen

Federal background check required before start date.
